Wix Bookings vs Calendly vs Mindbody — A Specialist Comparison

When Wix Bookings is enough, when Calendly is better, and when Mindbody is the right call. An honest breakdown by an agency that integrates all three.

Wix Bookings vs Calendly vs Mindbody — A Specialist Comparison

"Should we use Wix Bookings or Calendly?" comes up on most service-business engagements. The right answer depends on what you're actually selling. Here's the honest comparison.

Wix Bookings — the default for most

Wix Bookings is built into Wix Studio and is the right choice when:

  • You sell time-based services that map to staff availability (consultations, sessions, classes).
  • You need the booking to live inside your Wix site without redirecting elsewhere.
  • You want booking data in the same backend as your CMS and Velo logic.
  • You need package + membership integration via Wix Members.

What it handles well: appointments, classes with capacity, packages, recurring memberships, Google/Outlook calendar sync, payment via Wix Payments.

What it does not handle well: complex shift rules, intricate cancellation policies, large multi-staff calendars that need ops-grade scheduling.

Calendly — when sales scheduling is the only use case

Calendly is the right choice when:

  • You only need 1:1 meeting scheduling (sales calls, consults).
  • You do not need the booking to be part of a content/marketing flow.
  • You need extreme polish on the meeting-scheduling experience (timezone handling, round-robin, qualifications).
  • You are happy with the booking living off your domain.

Calendly is best-in-class for sales scheduling. We embed Calendly on Wix Studio sites for sales calls regularly. It is not good for class scheduling, capacity-managed booking, or anything beyond 1:1.

Mindbody — for fitness/wellness studios at scale

Mindbody is the right choice when:

  • You run a fitness, yoga, or wellness studio with multiple classes per day.
  • You need waitlist logic, dynamic capacity, instructor scheduling.
  • You sell class packages, drop-ins, memberships across multiple locations.
  • You need POS integration for in-studio sales.

Mindbody is over-built for most coaches and small studios; right-sized for studios past a certain scale. The Wix integration is via the Mindbody widget or via Velo + Mindbody API.

We typically recommend Mindbody for studios with 4+ instructors, 50+ classes/month, or 200+ active members. Below that, Wix Bookings is enough.

When to use multiple

Common pattern: Calendly for sales calls + Wix Bookings for paid services + Mindbody (if applicable) for studio classes. Three tools, three jobs. We wire them so that the visitor never feels the seams — each is embedded where it belongs, with consistent branding.

Integration via Velo

Where the default integrations are limited, Velo bridges. Examples we have built:

  • Sync Calendly bookings to Wix CMS for a unified client view.
  • Fire Mindbody booking events to Klaviyo for post-class follow-up.
  • Cross-reference Wix Bookings availability with external staff calendars before showing slots.

This is the value of having Velo in the toolkit — bookings stop being a silo.

The takeaway

There is no universal "best booking system on Wix." There is the right tool for the job:

  • Wix Bookings for most service businesses, classes with simple capacity, package sales.
  • Calendly for sales scheduling at any scale.
  • Mindbody for fitness/wellness past mid-size.

Pick by the job. Wire them with Velo where seams need to disappear. Most projects use one; some use two; very few need three.
